Music Event Photography Terms & Conditions – 2026

Effective Date: 1 January 2026
Applies To: Gigs, concerts, festivals, showcases, tours, EP launches, live sessions, and music-related events

These Terms & Conditions apply specifically to all music event photography services provided by Media Images Photography ("the Photographer", "we", "us", "our"). By booking or accepting coverage, the client, artist, promoter, venue, or organiser ("you", "the Client") agrees to be bound by these Terms.

1. Booking & Coverage Agreements

1.1 Coverage may be provided on a paid or free-coverage basis at the Photographer’s discretion.
1.2 All agreements must be confirmed in writing (email, DM, booking form, or invoice).
1.3 Free coverage does not create any usage rights.
1.4 Acceptance of coverage constitutes acceptance of these Terms.

2. Free Coverage Policy

2.1 Free coverage may be offered for:

• Local gigs
• Community shows
• Independent artist events
• Local festivals

2.2 Free coverage includes:

• Event photography
• Online preview gallery

2.3 Free coverage does not include:

• Free images
• Free downloads
• Free social media use
• Free promotional use
• Free commercial use

2.4 All images must be purchased or licensed before any use.

3. Copyright & Ownership

3.1 All images remain the intellectual property and copyright of Media Images Photography.
3.2 No copyright transfer is provided.
3.3 Images are licensed, not sold.
3.4 Copying, scanning, editing, watermark removal, screenshotting, or redistribution is strictly prohibited.

4. Image Licensing

4.1 All image use requires a valid licence.

Licence Categories:

• Editorial Licence – press, blogs, online media, reviews
• Promotional Licence – artist promotion, venues, posters, flyers, social media
• Commercial Licence – advertising, ticketed campaigns, paid ads, merchandise

4.2 Licences are:

• Per image
• Per client
• Per usage type
• Platform-specific

4.3 Licence terms are defined at the point of sale. 4.4 Unlicensed use will result in retrospective licensing fees and potential legal action.

5. Delivery & Galleries

5.1 Images are delivered via online galleries.
5.2 Galleries are for viewing and selection only until images are licensed.
5.3 Downloading or copying unlicensed images is prohibited.
5.4 RAW files are not supplied.

6. Editing & Artistic Control

6.1 Editing style and final selection is at the Photographer’s discretion.
6.2 Re-edit requests must be reasonable and may incur additional charges.

7. Access, Permissions & Credentials

7.1 The Client is responsible for:

• Venue access
• Artist access
• Photo pit access (where applicable)
• Media passes/credentials

7.2 Media Images Photography accepts no liability for restricted access imposed by venues, security, or organisers.

8. Conduct & Safety

8.1 Unsafe working conditions may result in immediate termination of coverage.
8.2 The Photographer is not required to work in unsafe, abusive, or hostile environments.

9. Cancellations

9.1 Cancellations must be made in writing.
9.2 Paid bookings may be subject to cancellation fees.
9.3 Free coverage may be withdrawn at any time.

10. Liability Limitations

10.1 Media Images Photography is not liable for:

• Performer movement
• Stage lighting conditions
• Venue restrictions
• Crowd interference
• Technical failures beyond reasonable control

10.2 Liability is limited to the value of any paid contract.

11. Promotion & Portfolio Use

11.1 Media Images Photography retains the right to use images for:

• Portfolio
• Website
• Social media
• Marketing
• Promotional materials

12. Data Protection

12.1 All data is handled in accordance with UK GDPR regulations.
12.2 Client data is not sold or shared with third parties.

13. Governing Law

13.1 These Terms are governed by the laws of England and Wales.

14. Acceptance of Terms

Acceptance of coverage or booking confirmation constitutes full acceptance of these Music Event Terms & Conditions.
